⚡1 AI Hack: Use ChatGPT to Automate Routine Finance Emails

🧠 The Problem:

From month-end commentary to vendor reminders, finance folks send repetitive emails daily.

You know what to say — but writing it takes time, especially when you're trying to sound polished and clear.

🧰 What You’ll Need:

  • ChatGPT (or Claude)

  • A recent finance email you’ve sent more than once

  • 5–10 minutes to build your go-to email prompt template

🪜 Step-by-Step Instructions: From Bullet Points to Send-Ready Email

🧾 Scenario:

You need to explain a 12% variance in marketing spend to the department lead. The variance was caused by a Q3 ad campaign being pulled forward into June.

🧩 Before You Start:

ChatGPT doesn't know your situation — so be sure to include the key context in your prompt. This includes:

- What happened (e.g. a variance, delay, overspend)

- Who you're writing to (e.g. vendor, department lead, CFO)

- What tone you want (e.g. friendly, professional, concise)

Example:

If you’re explaining a budget variance, your prompt should include:

“We went 12% over budget in June because a Q3 marketing campaign was launched earlier than planned.”

The more clear your input, the better the output. Treat it like giving notes to a junior — but way faster.

Step 1: Feed your notes into ChatGPT

Prompt:

“Write a professional but friendly email to Alex explaining a 12% overspend in marketing for June. Include that the variance is due to an ad campaign moved forward from July. Offer to walk through the numbers if needed.”

🖊️ Output:

Subject: June Marketing Spend – Quick Note on Variance

Hi Alex,

I wanted to flag that June's marketing spend came in about 12% over budget. This was mainly due to the Q3 ad campaign being launched earlier than planned, which pulled some July spend into June.

Let me know if you'd like to review the numbers or reclass for timing — happy to walk through.

Best,

Shirley

Step 2: Customize tone

Prompt:

“Make this more concise but keep a helpful, human tone.”

🖊️ Output:

“June marketing spend ran 12% over budget due to early launch of the Q3 ad campaign. Let me know if you'd like a quick walkthrough or reclass.”

Step 3: Build your own reusable template

Prompt Template:

“Write a short, clear email explaining [variance/issue] for [month/department]. Mention the cause: [reason]. Offer to review if needed. Tone: friendly and professional.”

💡 Use this to quickly respond to recurring questions — GL explanations, delayed payments, budget checks, etc.

💡 Why this matters:

  • Frees up your brain for higher-value work

  • Keeps you looking sharp in every email

  • Helps junior staff write client- or vendor-facing messages faster
